About the Role:
We are seeking a Project Administrator to join our Meadowbrook Branch. This role suits an ambitious and adaptable individual with a high-level of administrative and organisational skills. The successful candidate will play a pivotal role in a national industry leading company to help assist, manage, coordinate projects, mobilisations, job preparation and record keeping and to provide general administration support to the projects team.
Key Responsibilities
- Professional service whilst coordinating a variety of project related and general administration support
- Coordinate high volumes of mobilisation of resources including personnel and equipment
- Collaborate with co-workers to deliver appropriate support to ensure mobilisation requirements can be delivered within set timeframes
- Develop, maintain, and manage databases that ensures compliance of training records, medicals and induction requirements at all times
- Laise with site representatives and the recruitment team to offer a seamless on-boarding and mobilisation process for our employees
- Ensure project documentation is completed and filed correctly
- Provide a high level of customer service to internal and external customers
- Coordinate and administer meetings with internal and external stakeholders including setting agendas, recording minutes, following up action items and distributing meeting minutes
- Assist with booking of branch and personnel training, medical and travel requirements
- Issue and release all purchase orders relevant to project undertakings ensuring they are ready for payment
- Review, record and maintain labour hours and costs incurred for all project related contracts
- Order, issue and distribute uniforms and other onboarding items as and when requested as per company policies
- Monitor and maintain all projects and equipment registers
- Other duties as directed by your manager
Key Competencies:
Essential:
- Current Driver’s Licence
- High level of accuracy and attention to detail
- Exceptional organisation and planning skills with strong adherence to deadlines
- Patient, flexible and adaptable to changing and challenging circumstances
- Great problem-solving and the ability to work well under pressure
- Excellent verbal and written communication skills
- Able to work unsupervised or with limited direction
- A high level of discretion and professionalism to act with integrity and always maintain confidentiality
- Microsoft Office Suite skills
Desirable:
- Experience in Rental, Mining or Construction Industries (or similar)
- Certificate III Business Administration (or similar)
