About the position
A rare opportunity has arisen to join our close-knit team as an Operations Support Officer. In this diverse role, you will focus on providing high quality administration support and secretarial services to our Operations teams.
Reporting to two Operations Managers, you will work closely with the Operations West and Underground teams to provide exemplary assistance in a variety of areas.
The successful candidate will maintain a full-time office presence based in our Welshpool office.
Core accountabilities include:
• Provide secretarial services and support (answering phone calls, maintain office equipment and facilities, handle mail, organise meetings, etc.)
• Purchasing, ordering, and goods receipting – Inclusive of sourcing quotes, raising orders, liaising with suppliers, goods receival and entry into online systems.
• Interaction and liaison with Accounts Payable to investigate and resolve discrepancies.
• Assist the Underground Operations Coordinator with site consumables stock and purchasing reports.
• Maintain operational personnel and training files, updating relevant training matrixes.
• Coordinate medicals / D&A testing / police checks as required for new and current employees.
• Order and maintain PPE/uniforms as well as new starter packs.
• Coordinate travel and site access bookings, assist with rostering requirements.
• Engage and participate in weekly operations, maintenance and site operational meetings and provide information and updates on responsible tasks.
• Assist with EOM duties across invoicing, stock adjustments and reconciliation, KPI reporting, and travel costs.
• Act as a designated first aider.
• Provide support to additional requirements as requested and when available.
Essential Requirements:
• Sound Knowledge of Microsoft Office Suite including Word, Excel & Outlook.
• Experience with data entry.
• Excellent organisational and time management skills including the ability to meet deadlines.
• Ability to communicate with personnel at all levels and manage relationships with external suppliers & clients.
• Professional image and ability to produce quality written communication.
• Knowledge of using Pronto and Redmap or similar systems.
• High level communication skills.
Desirable Requirements:
• First Aid certification
• Experience using travel management and LMS systems.
• Forklift ticket
