GroundProbe, a global leader in innovative technology solutions, is excited to invite applications for a Facilities and Admin Coordinator for a 12-month contract. In this role, you will be at the heart of our operations, working Monday, Wednesday, and Friday at our vibrant office in Windsor, Brisbane.  The Facilities and Admin Coordinator is responsible for managing the day-to-day operations of office facilities and providing administrative support to ensure smooth functioning. This role involves coordinating office services, maintaining facilities, and ensuring a productive, safe, and efficient working environment for all employees.

What you will be doing

Facilities Management:

  • Oversee the daily operations of office facilities, ensuring they are well-maintained and safe;
  • Coordinate with vendors and service providers for facility-related services (cleaning, maintenance, security, etc.);
  • Manage office space allocation and seating arrangements to optimise workspace efficiency;
  • Oversee repairs, renovations, and office upgrades, liaising with contractors as needed;
  • Ensure compliance with health and safety regulations and address facility-related safety concerns;
  • Manage office equipment, ensuring they are functional and serviced as needed;
  • Serve as the primary contact for facilities issues for employees, coordinate with stakeholders, and manage renovation or installation projects.

Administrative Support:

  • Assist with administrative tasks, including document preparation, filing, and correspondence;
  • Coordinate meeting room bookings, office supplies inventory, and purchase orders;
  • Support the onboarding process by ensuring new hires have the necessary workspace and equipment;
  • Organise and facilitate office events, meetings, and company functions;
  • Provide support for special projects and initiatives as directed by management;
  • Act as the main point of contact for building management and handle any office facility-related issues.

Compliance and Safety:

  • Ensure the office environment complies with company policies and legal requirements;
  • Maintain up-to-date records of health and safety inspections and ensure that the office is equipped with first aid supplies and safety equipment;
  • Conduct periodic safety drills and ensure employees are familiar with emergency procedures;
  • Develop preventative maintenance schedules, respond to requests, and keep detailed maintenance logs;
  • Develop emergency response plans, conduct drills, and ensure safety equipment is maintained.

What you will bring

  • Trades certificate or Diploma: Preferred in Facilities Management, Business Administration, or a related field.
  • Facilities Management Experience: Minimum of 3 years of experience in facilities management, maintenance supervision, or a related field.
  • Industry Experience: Experience in managing both office environments and production/industrial facilities is highly desirable.
  • Project Management: Demonstrated experience in planning and executing facility-related projects.
  • Vendor Management: Experience in managing contracts and relationships with vendors and service providers.
